When you book a Simplish AI Assessment with us, we collect your name, contact details, and a recording of your session. We use AI tools to transcribe the session and produce your personalised report, which is then reviewed by a human before it reaches you. This policy explains exactly what we collect, why, who sees it, and what rights you have over it.
Simplish AI is a trading name of Rodwellbeing Limited, a company registered in England and Wales. For the purposes of UK GDPR, Rodwellbeing Limited is the Data Controller responsible for the personal data collected and processed through Simplish AI services.

We are registered with the Information Commissioner's Office (ICO) as a data controller in the United Kingdom.
We collect the following categories of personal data in connection with our Simplish AI Assessment service:
Collected via our pre-session registration form before your assessment begins.
We process your registration details (name, business, phone, email) because it is necessary to perform the contract between us, that is, to deliver your Simplish AI Assessment. This is lawful under Article 6(1)(b) of UK GDPR.
Recording your session and processing the resulting transcript through AI systems requires your explicit consent, which you provide by ticking the confirmation checkbox on our registration form. You may withdraw consent at any time by contacting us through our contact form. Withdrawal will prevent us from completing or delivering your assessment.
Simplish AI uses artificial intelligence at two stages of the assessment process:
Your report is reviewed and approved by a human consultant before it is delivered to you. No significant decision about you is made solely by automated means. You have the right to request human review of any assessment output at any time through our contact form.
To deliver our service, we use carefully selected third-party technology providers. Each provider acts as a data processor on our behalf and is contractually required to:
Our sub-processors fall into the following categories:
We review our sub-processors regularly, update them as our technology evolves, and ensure a data processing agreement is in place with each provider. We do not sell, rent, or share your personal data with any third party for their own marketing or commercial purposes.
A current list of our approved sub-processors is available on request through our contact form.
Some of our technology providers operate outside the United Kingdom. Where your personal data is transferred internationally, we ensure appropriate safeguards are in place in accordance with UK GDPR, which may include:
Details of the transfer safeguards applicable to each sub-processor are available on request.
We retain your personal data, including registration details, session transcript, and assessment report, for 24 months from the date of your assessment. This retention period supports your eligibility for a discounted re-assessment within that window.
After 24 months, all personal data is securely and permanently deleted from our systems and those of our sub-processors. Written confirmation of deletion is available on request.
You may request earlier deletion at any time (see Your Rights below). We will comply unless a legal or contractual obligation requires us to retain specific records.
You have the following rights in relation to your personal data:
To exercise any right, contact us through our contact form or by post at the address above. We will respond within one calendar month of receipt.
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, alteration, or disclosure. These measures are reviewed and updated regularly. In the event of a personal data breach that is likely to affect your rights and freedoms, we will notify you and the ICO without undue delay in accordance with our legal obligations.
Our assessment pages do not use tracking, analytics, or advertising cookies. We may use strictly functional cookies required for the assessment session to operate correctly. No third-party tracking cookies are set.
We may update this Privacy Policy from time to time to reflect changes in our services, technology, or legal obligations. Where changes are material, we will notify you by email if we hold your contact details. The version number and date at the top of this page will always reflect the current version.
